Answers to common questions about educational document and equivalency translation
Diplomas, graduation certificates, transcripts, grade reports, student certificates, course descriptions, diploma supplements, certificates and internship documents can be translated. Information such as the institution, department, qualification, courses, grades and credits is rendered accurately and consistently from the source document. Grades and academic titles are not arbitrarily converted or adapted. The language, document format and certification requirements specified by the receiving institution should be provided in advance.
The required documents vary according to the level of education, type of application and competent authority. In addition to a diploma or graduation certificate, transcript, identification and application form, a diploma supplement, course descriptions, educational history or other supporting documents may be requested. Translation and legalisation requirements may also vary. Before the process begins, you should verify and provide the current document list and acceptance requirements of the institution to which you will apply, such as YÖK, ÜAK or MEB.
Whether a sworn translation is required depends on the current acceptance rules of the institution to which the document will be submitted. For some applications, the signature and stamp of a sworn translator are sufficient, while others also require certification by a notary public or the relevant foreign mission. In diploma and transcript translations, the institution name, department, qualification, courses, grades, credit system and explanatory notes are rendered consistently. Grades and academic titles in the source document are not converted arbitrarily. The requirements of the university, equivalency authority or employer regarding language and certification are followed. If a specific application template is available, it is helpful to provide it before translation begins. Once you send us your document and application requirements, we clarify the necessary translation and certification scope in advance.
If the receiving institution requests course descriptions, these documents may also need to be prepared in the required language. The same documents are not automatically required for every equivalency or university application. Course names, credit and contact-hour information, topics, learning outcomes and reference lists, where applicable, are considered within the scope. Providing the periods to be translated and the institution’s current document list helps avoid unnecessary file preparation.
Whether the original document is required depends on the document type, notarial practice and the requirements of the receiving institution. A preliminary review and translation preparation can be carried out using a clear scan or photograph. However, this does not remove any requirement to present the original document. We clarify the need for an original document or certified copy before the process begins.
The need for notarisation and an apostille depends on the country in which the document was issued, the country in which it will be used and the requirements of the receiving institution. The same procedure is not automatically required for every document. Notarisation is a notary public’s certification of a specific document, signature or translation. An apostille verifies elements such as the signature and seal on the relevant official document for international use. These procedures serve different purposes. Depending on the application requirements, either one, both or another form of legalisation may be required. Before translation begins, the relevant institution should confirm which certification is required for the source document or translation and the order in which the procedures must be completed.
The delivery time varies depending on the language, text length, level of specialisation, file quality and need for official certification. Short standard documents may be prepared more quickly, while multi-page or technical files require more work. We confirm the delivery date after reviewing the document and determining the scope. Revision and required certification stages are also considered when calculating the timeframe. If notarisation or additional legalisation is required, the working schedules of the relevant authorities are included in the delivery plan. The translation delivery time and the official assessment period for an equivalency application are different.
The translation price is calculated according to the language pair, text volume, field of expertise, file legibility, delivery schedule and formatting requirements. Sworn translation, notarisation and additional services also affect the scope. After reviewing your document, we prepare a quote specifying which charges are included. General prices provided before the document is reviewed may not constitute a final quotation. Before work begins, we clarify whether the required certification, coordination and physical delivery costs are included in the quote.
Yes. You can begin the remote quotation and translation process by sending a clear PDF file or photographs of every page of the documents. The source and target languages, receiving institution or country, required certifications and delivery date should be provided together. Stages requiring the original document, notarisation, authorisation or physical delivery are planned separately. The ability to prepare the translation remotely does not mean that every official stage of the equivalency application can be completed online.
No. Translation ensures that educational documents are presented in the required language and format. It does not guarantee diploma equivalency, admission to a university or scholarship programme, a visa decision or professional recognition. The competent authority is responsible for assessing the documents and educational qualifications and deciding the outcome of the application. A complete translation does not replace the other application requirements.
